  • Overview

    The Staffing Coordinator is primarily responsible for ensuring that the four care communities of the Mid Coast Senior Health Center (MCSHC) are fully staffed each shift with the appropriate nursing staff. Additionally, the Staffing Coordinator will be located at the entrance to Thornton Hall to welcome and provide information/directions to visitors. The Staffing Coordinator will also provide administrative support to the Director of Nursing as needed.

    Responsibilities

    Scheduling Functions: The Staffing Coordinator generates, manages and updates master schedules for staff on nursing and assisted living communities and makes adjustments as needed according to budgetary constraints, census fluctuations, call-outs, vacations and pre-planned leaves of absence.

    Receptionist Functions: Greets visitors on arrival and provides information, directions or calls to appropriate offices. Answers the phone in a timely manner and directs calls to the correct offices.

    Additional duties include:

    • Works creatively with team members (core and per diem) to fill staffing vacancies in advance to ensure adequate coverage for all shifts
    • Incorporates approved requests for paid time off (PTO), vacation, maternity leave, Family Medical Leave Act (FMLA), and unpaid leaves of absence
    • Assists with scheduling employees with work restrictions
    • Keeps meticulous attendance records and reports to manager if staff members accrue excessive absences and/or tardy occurrences
    • Coordinates orientation schedule for newly hired employees in the nursing department and communicates the schedule to the Director of Nursing and Director of Residential Services.
    • Checks time clock punch records against master schedules and notes the appropriate changes
    • Assists employees with time variance forms for events such as missing meal periods or forgetting to clock in/out.
    • Maintains time attendance variance records.
    • Utilizes computer software to prepare, change and update the master schedule.
    • Coordinates and schedules interviews for potential new employees with the Director of Nursing.

     

    Qualifications

    • High school diploma or equivalent
    • Excellent organizational skills
    • Excellent communication skills
    • Effective time management skills
    • Ability to work as part of a team
    • Prior computer experience; able to learn new software quickly
    • Minimum one year prior clerical experience in a medical setting
