  • Overview

    Reporting to the President/CEO, the Executive Assistant is responsible for providing professional administrative support to the President/CEO and Chief Financial Officer (CFO).  This key position provides a welcoming presence for visitors to the President’s office including board members, members of the medical staff, patients, employees and members of the public.  The Executive Assistant position is responsible for coordinating meetings, maintaining electronic calendars and ensuring that the President/CEO and CFO are informed of and prepared for upcoming appointments. The Executive Assistant sets the calendar for and coordinates all Mid Coast-Parkview Health board and board committee meetings and performs all related support including attending board meetings to record minutes, posting agendas and minutes to an online web portal, maintaining board and committee membership lists and any other administrative support necessary.  Other key duties include organizing and coordinating three to four major events per year such as the annual meeting, corporator events, annual board retreat and working with the CFO to maintain organizational contract files.

    Qualifications

    • College graduate or equivalent experience. 
    • Prior experience supporting President/CEO strongly preferred.
    • Must be proficient in Microsoft Office products; Outlook, Word, Excel and PowerPoint.
    • Excellent attention to detail and time management skills. 
    • Strong written and verbal communication skills.
    • Must be organized, flexible and have an ability to manage complex tasks on a time time schedule. 
    • Maintain confidentiality and discretion.
    • Excellent calendar management skills, including the coordination of meeting for multiple projects. 
    • Must be able to work comfortably with a wide range of customers and quickly establish a friendly rapport.
